National e-Invoice System (KSeF) for gastronomy at POSbistro
The year 2026 will see the mandatory use of KSeF gradually apply to the vast majority of businesses in Poland – including restaurant, bar, café, and food service chain owners. What is KSeF?
The National e-Invoice System (KSeF) is the Ministry of Finance's central IT system used to issue, transmit, receive, store, and archive structured invoices. In practice, this means that the only legally binding invoice is an XML file saved and registered in the KSeF system.
KSeF automatically assigns each invoice a unique identification number (KSeF number), confirming its existence and validity. A printout from a fiscal or voucher printer, as well as a PDF file sent by email, ceases to be an invoice in the legal sense; they are merely a visualization of the document.
The aim of KSeF is to standardize invoicing, automate accounting processes and increase the transparency of tax settlements.
How does KSeF work and what are structured invoices?
A structured invoice is an electronic document saved in a strictly defined XML format, compliant with the applicable logical structure (FA(3)). This file is generated by the sales system and then sent directly to KSeF.
The process is as follows:
The sales system generates invoice data
The invoice is sent to KSeF in XML format
KSeF checks the formal correctness of the document
The system assigns a KSeF number to the invoice and saves it in the central database
The invoice recipient gains access to it directly in KSeF
Invoices in KSeF are archived for 10 years, which frees entrepreneurs from the obligation to store documents themselves.
What is changing in the approach to invoices?
An invoice is no longer a paper or PDF file. The only legally binding document is the invoice saved in the KSeF. This means:

Since when do I have to use KSeF in gastronomy?
The KSeF implementation has been divided into phases. Key dates are as follows:

The Ministry of Finance is releasing the final logical structures (FA-3) and test environments. This is a time of intensive implementation work on the part of POSbistro.
1 February 2026
obligation to use KSeF for large enterprises (turnover above PLN 200 million).
April 1 2026
obligation for all other VAT payers.
Important:
Receiving invoices using KSeF will be mandatory from 1 February 2026 (except in cases excluded by law, where the invoice is sent in an agreed manner).
Does POSbistro work with KSeF?
We are actively working on implementing the integration so that our system is fully prepared to support KSeF when the Ministry of Finance releases the final production version of the system.
We are planning training and information campaigns so that customers know exactly what is changing and how to work with the new features.

– the staff can see whether the invoice has been sent, is waiting for UPO, or has been rejected.
Offline mode (queuing)
– in the event of an internet outage, invoices are saved securely and sent automatically once the connection is restored.
Accounting services

– the system collects cost invoices issued by suppliers.
Document repository
– electronic archive of sales and purchase invoices in XML and readable PDF.
What does the client need to do to make KSeF work in POSbistro?
In order for the POSbistro system to communicate with KSeF on behalf of the restaurant, the customer will need to complete a one-time setup (onboarding). Each customer will receive detailed information from us personally and be guided through the entire process by our advisors.

Frequently asked questions about KSeF in gastronomy (FAQ)
Does KSeF mean the end of paper and PDF invoices?
Yes, legally. Once the KSeF requirement comes into effect, the only invoice recognized by tax authorities will be the structured invoice saved in the KSeF. A paper printout or PDF file will merely be a visual representation of the document, helpful to the customer, but without legal validity. Therefore, it is crucial that the restaurant's sales system is integrated with the KSeF and automatically sends data to the Ministry of Finance system.
What if there is an internet outage in the restaurant?
POSbistro offers offline mode (invoice queuing). If there's no internet connection, invoices will be saved and automatically sent to KSeF once the connection is restored, maintaining the required timestamps.
Do POSbistro customers need to do anything on their end?
Yes, but only once. Each customer will need to generate an authorization token in the KSeF system and paste it into the POSbistro Panel. This token enables secure communication between the government system and POSbistro. Without this configuration, you won't be able to issue or receive invoices in KSeF.
When will POSbistro be fully ready?
POSbistro will be ready when the Ministry of Finance releases the final production version of the KSeF. Training, educational materials, and customer communication are planned for January to prepare restaurants for the upcoming changes.
KSeF and the daily work of the restaurant
The implementation of KSeF will affect the daily organization of work in the catering industry, but thanks to integration with POSbistro, these changes will be as minimally noticeable to the restaurant staff as possible.
Servers will still issue invoices directly from their tablets. The difference is that the system will automatically verify the buyer's Tax Identification Number (NIP), send the data to the National Tax Identification Number (KSeF), and retrieve the KSeF number. Staff will receive clear information about the document's status without having to contact accounting.
